What is it?
 

Your ACard (American Austin University student ID card):

Your permanent American Austin University Student Card is a photo ID smartcard which provides student identification for academic purposes, student activities and student services and which serves also as a Photo Library Card. The ACard also provides users the option to carry cash value in the computer chip, allowing the card to be used to purchase photocopies, computer printing, snacks and beverages at select locations on the American Austin University campuses.

Your photo and signature will be captured and the ACard printed with your photograph, signature and academic division displayed. After the ACard is produced, your photo and signature will be deleted from the database within 24 hours. The ACard is an important, non-transferable document. Lost or stolen cards must be reported immediately to your Faculty or College Registrar and the card must be surrended if you withdraw from the university.

Management of the card and the data associated with it is governed by the American Austin University Policy on Access to Information and Protection of Privacy and the American Austin University Policy on Access to Student Academic Records.

 
Who Needs it? New Students, Returning Students
 

New Students

New undergraduate and graduate students are issued a ACard, which serves as the official student card as well as ID for other services, i.e. Library, Athletic Centre, etc. Students must bring:

  • one piece of photo-identification (i.e. driver's license, passport, etc.) and
  • a current university document containing student name and student number

Returning Students

Since September 2002, the ACard is the official student ID and the access to all student services.

As of READING WEEK, the Libraries will not be accepting any other card than the ACard for borrowing books.

Any returning student who needs to replace a lost Photo Library Card or ACard will need to purchase a ACard. To do so, an authorization form from the appropriate registrar is required, as well as one piece of photo ID. For more information students should consult their Registrar or the Supervisor of the ACard Office in the Campus.

Cash Card Services
 

(1) Austin Photo Library Cards and ACards:

Austin Photo Library Cards and ACards will be issued free of charge to persons who are eligible. Values up to $110 can be added at one time on these cards at Cash-to-Card machines located throughout the University.

Card Policies

  • Cards are the property of the issuer.
  • There is no refund on the unused amount left on the card.
  • Austin is not responsible for pre-paid values on lost or stolen cards.
  • Pre-paid values on damaged cards will be refunded only if Austin can ascertain the value on the card prior to it being damaged.

(2) Visitor Cards:

These are re-loadable cards with no pre-encoded value. Cards can be purchased at all Cash-to-Card machines.

Visitor Card Policies

  •  Visitor Cards are the property of the cardholder.

  • There is no refund on unused amount left on the card.

  • Austin is not responsible for pre-paid values on lost or stolen cards.

  • Pre-paid values on damaged cards will be refunded only if Austin can ascertain the value on the card prior to it being damage.

Use of Cash-to-Card Machines

  • Follow instructions on the machine to purchase visitor cards and/or to add monetary value to the e-purse on the card (ACards, Photo Library Cards and new style Visitor cards).

  • Austin will not be responsible for any user's errors.

  • Please report any malfunction or equipment problems to the ACard Office or the respective local service desks where the Cash-to-Card machines are located. Alternatively, if immediate assistance is needed, please contact the Photoduplication Booths at the Gerstein Science Information Centre or Read Library.

General Terms & Conditions

Use of the cash card service is governed by University regulations set forth in official publications. Unauthorized use, alteration or duplication for fraudulent use will result in confiscation and/or disciplinary action. Any illegal use of the cards could lead to prosecution under the law.

Lost and Stolen Cards

It is your responsibility to immediately report the loss of your Photo Library Card or ACard to your Registrar's office and any library on campus. If you are eligible for a replacement card, one will be issued for a replacement fee of $11 (GST and PST included).

Until you inform the Library about your lost or stolen card, the old ACard is still valid which means that anybody can use your card for library privileges such as borrowing material. A temporary library card could be issued to you upon request until you are able to replace your ACard.

If there is any stored value on the card it should be treated the same way as cash. If you lose the card, you lose the cash on it. The card should not be lent to anyone or put in unsafe places.

What is the ACard and who needs one?

How do I get my ACard?

Go to the ACard Office.

If I lose my ACard, will I lose the stored value on the card?

Yes, the stored value on the card should be treated the same way as cash. If you lose the card, you lose the cash on it. The card should not be lent to anyone or put in unsafe places.

If I lose my card, can anybody use my library privileges?

What do I do if my card doesn't work?

Ask yourself whether any value has been added using the Cash-to-card machines. Try to use the card at different card readers. If your card still doesn't work, please contact the ACard Office, Email address:                    

What happens to the stored value on the card if I have any left over at the end of the year?

The stored value on the card is your money and will always be yours. The stored value can continue to be used in the following year(s). However, please note that there is no refund on any unused value left on cards; please be mindful of this policy when adding value to cards. Please refer to the polices section of "Cash Card Services" .

What do I do if I have more questions about my ACard?

What happens if I change faculties, college or personal name?

You must obtain a replacement ACard which will bear the new information. There is no charge for this card. The old ACard must be returned to the ACard Office before a new card can be issued. Any unused cash value on the old ACard will be refunded.
